Accounts Receivable / Customer Service Assistant

 

GrooveCar located in Farmingdale, NY is seeking to hire an experienced Accounts Receivable / Customer Service Assistant that will maintain client records in order to respond to company management, customer and client inquiries. This position will help manage the accounts for 500+ dealer and credit union subscriptions nationwide and will have regular verbal and written contact with Business Partners, management, and Dealer Relationship Managers (DRMs).  The ideal candidate will need to be highly organized and have excellent written and verbal communication skills.

Job Responsibilities Include:

  • Developing good working relationships with DRMs, clients and vendors
  • Follow up Leads that come into the website or by phone call; direct customer to website inventory, assist in selection process, and dealership contact process; annotate the CRM and/or forward to appropriate individual
  • Receive and post cash collections, preparation of bank deposit and AR aging reports, collections, and filing
  • Receive and post all cash receipts/collections for three companies to customer balances in QuickBooks and to excel payment schedules for updating commission calculations
  • Monthly billing for customer subscriptions
  • Review new contracts for completeness and obtain what is missing; scan into FR, Accounting and Dealer Drive on the server; send new contracts, import file to appropriate partners; and set up new customers and maintain customer profile accounts
  • Handle processing of cancelled customers; send out cancellation letters and scan to appropriate drive
  • Collections – consisting of calls and emails, creating statements
  • Assist with Accounts Payable
  • Maintain AR and AP manual files, dealership and credit union files for contract changes
  • Maintain postage reports; send packages to DRMS and business partners via FedEx or USPS
  • Order and maintain office supplies
  • Assist customers with questions regarding their account

Job Requirements;

  • Associates degree or equivalent work experience in the field
  • 2+ years in bookkeeping and customer servicing
  • Proficient in Microsoft Office, especially Excel, and QuickBooks (or similar accounting system)
  • Excellent organization and communication skills and the ability to work independently
  • Strong customer orientation, ability to construct professional email correspondence
  • Ability to be an effective team member
